AI fluency is a relatively new term that has gained real momentum since early 2025, especially following the publication of the Framework for AI Fluency. In simple terms, AI fluency is the ability for people and teams to understand, evaluate, and confidently apply AI tools in everyday work. It’s not about building AI; it’s about collaborating with it.
To collaborate well, we need to unlearn some habits we picked up from 25 years of internet search.
Retrain the brain
For decades, search engines taught us to interact with computers in a transactional, keyword-driven way. We learned that:
· Brevity is rewarded.
· Nuance is ignored.
· Context is optional.
· Follow-up questions mean “start a new query”.
· Machines don’t understand full sentences.
This behaviour carried straight into how people use AI today. Short prompts. Minimal context. One-shot questions. And unsurprisingly, the results often feel shallow or generic.
But AI isn’t a search index. It’s a conversational partner. To get the best from it, we need to retrain our brains for collaborative reasoning – clarifying goals, iterating, refining, and exploring alternatives instead of trusting the first response.
AI is a conversational partner
If we talk to AI using search‑era habits, we get search-quality results. If we talk to AI using conversational habits, we unlock its real value.
AI fluency requires you to use full sentences and context that covers the goal (why you want something), constraints, audience, domain, and desired formats… and then iterate. The best results rarely come from the first answer; they come from the back-and-forth. A fluent professional reaches for AI when needed, adapts prompts to context, checks outputs critically, and knows when AI will improve a task.
Ask AI to challenge your assumptions, offer alternatives, improve your ideas, or test your reasoning. And when AI asks you questions – answer them. That’s how the conversation becomes productive.
AI fluency is not simply prompt training; it is a new operating discipline. It requires organisations to develop the capabilities, governance, behaviours and ways of working needed to realise value from AI safely and sustainably. This is a discipline we have been actively helping clients shape and embed through our advisory work.
AI-fluent processes designed for the future, not the past
AI fluency isn’t just an individual skill; it shapes how organisations design their workflows.
AI-fluent processes are workflows intentionally redesigned so that AI handles the right steps and humans handle the right judgment calls. AI handles boilerplate, repetitive, or pattern-based steps, and humans handle judgements, exceptions, ethics, approvals, and decisions. It is a process that has been redesigned to use AI as the default. For example, a workflow could be:
· AI drafts.
· Human refines.
· AI checks the structure.
· Human validates and approves.
This is very different from Robotic Process Automation (RPA). RPA automates the past. AI-fluent processes transform workflows to improve capability through future-designed processes. They embed reasoning, interpretation, and collaboration to help someone think, create, decide and deliver at a higher level.
Retrained… and ready for what’s next
AI continues to reshape how we work and learn.
Developing AI fluency across your organisation is essential for staying competitive and innovative. If your organisation wants to move beyond AI curiosity and into AI capability, we can help you build AI-fluent teams and AI-fluent processes that deliver real results.
